Aesthetica Med Spa’s Appointment Policies

As always we are grateful for your continued support of our practice and providers! In order for us to continue to offer the best services possible, we have created the following appointment policies to ensure all our patients receive outstanding services, our undivided time and attention, as well as respecting the time of our providers who are dedicated to addressing your specific needs.

Appointment Policy

All appointments will require a credit card on file in order to hold your appointment. Your credit card information is safe and stored in our HIPAA compliant EMR for your protection. The card on file shall not be used for your purchases unless otherwise authorized by you.

Late Arrival Policy

Arriving late will deprive you of valuable treatment time. We will make every effort to accommodate treating you in the remaining scheduled time, however our providers reserve the right to make that determination based on what type of appointment you have and this may require your appointment be rescheduled if arriving 15 minutes or more late. This may also result in cancelation/no show fees.

Cancelation/No Show Policy

At Aesthetica we have a 24 hour Cancelation / No Show Policy in place to ensure guests can get in for appointments in a timely manner and to respect our providers’ time. Any appointment that no shows and/or cancels within 24 hours will have the following fee automatically charged to the credit card on file:

Please understand that if the cancelation/no show policy charge does not go through on the credit/debit card on file, the fee will remain on your Aesthetica account and you will be required to pay it before you are able to book another appointment with Aesthetica Med Spa.

Online Booking Policy

Beginning on December 1st, 2021 we will be offering online booking for your convenience through Setmore a third party booking app.  The following guidelines apply to every appointment booked online for new and existing patients – ALL ONLINE BOOKINGS THROUGH SETMORE WILL BE DEEMED AN APPOINTMENT REQUEST UNTIL YOU RECEIVE A CONFIRMATION EMAIL THROUGH OUR AESTHETICSPRO EMR. If we can’t accommodate the appointment time you have requested or your appointment has been scheduled incorrectly through the Setmore App you will receive a phone call from our office with appointment options and clarification.

  1. All new patient appointments and/or existing patient appointments requiring documents booked online through the Setmore App will be considered an Appointment Request until we receive all your AestheticsPro portal documents back signed and you receive a confirmation email from AestheticsPro stating we’ve received your documents and you are scheduled. Your online request will be valid for 24 hours, if we do not receive your portal documents back within that time your request will be canceled.
  2. If you are an existing patient with up-to-date documents, your appointment through the Setmore App will be considered an Appointment Request until you receive an email from AestheticsPro confirming we’ve received your online booking and you are scheduled.
  3. Any notifications you receive from Setmore is an appointment request confirmation, all appointment confirmations will come from our AestheticsPro EMR and/or our office via a telephone call.

We take pride in treating you, and we respect our Providers time and continued effort to be the best in the medical aesthetics industry, they are booked out weeks ahead, and last-minute cancelations do not allow us time to fill those gaps. We appreciate your understanding and compliance with our Appointment Policies. These policies will allow the Aesthetica team to continue to provide the highest quality services to you, and all of our patients, as well as continue to value our team members’ time and the flow of the clinic.
